Every time a guest books on an OTA such as Booking.com, Expedia, Agoda, MakeMyTrip or Goibibo, the OTA emails you a booking confirmation. Just forward that email to your dedicated ExpenseHut inbox and the reservation is created automatically — no export, no CSV, no channel manager.
How To Set It Up
Log in to the web app and select your organization.
Go to Settings → Hotels and find your Email Inbound address. It looks like [email protected] and is unique to your property.
Forward an OTA booking confirmation email to that address. The reservation appears under Hotel Management → Reservations within a minute.
To make it hands-free, set an auto-forward rule in your email (Gmail / Outlook) so every OTA confirmation is forwarded to that address automatically. You set this up once.
If the Email Inbound option isn't shown under Settings → Hotels, email [email protected] to enable it for your property.
What Gets Read
ExpenseHut reads the booking details from the email automatically:
Guest name
Check-in and check-out dates
Room type — matched to a room type in your property
Number of guests
Amount and confirmation code
OTA / source (which channel the booking came from)
The reservation is created against the matching room type. Your front desk assigns the exact room at check-in, as usual.
Good To Know
Re-forwarding is safe. If you forward the same email twice, ExpenseHut detects the duplicate and will not create a double booking.
Keep using your OTAs. This doesn't replace your OTA listings — keep marketing and taking bookings on every channel. ExpenseHut simply centralizes them.
You're notified if something needs attention. If a booking can't be added automatically, you'll see a notification in the web app and receive an email explaining why.
If A Booking Didn't Appear
Check your notifications (and the email we send you). The usual reasons are:
Room type didn't match. The room type in the OTA email doesn't match any room type in your property. Create the matching room type under Hotel Management → Room Types, then forward the email again.
No room available (possible double booking). Every room of that type is already booked for those dates. Review it and resolve manually from the Reservations page.
Couldn't read the booking. The guest name or dates couldn't be found in the email. Add the reservation manually, or use CSV import instead.
